    The purpose of this documentation is to provide assistance in the storage and reporting of Language and Academic Results.

    eBECAS enables you to:

    • enter entrance tests, progress and final test scores
    • print certificates individually or in bulk
    • Print bulk progressive results needed for Saudi student’s progress on scholarships.

    Language Results

    Language Results have a flexible structure. Language Results are stored for each Student enrolment.

    Often initial test results are entered upon arrival and prior to being assigned to a class. Usually Language Results are stored every 4-5 weeks to keep track of the student's progress.

    I will illustrate 2 ways that Colleges use eBECAS to enter results. Either using Result Groups and Result codes OR using a combination of different results depending for the different courses using Custom fields and result types.

    The result groups may be Reading, Listening, Speaking and Writing.

    Language Enrolment results are displayed in Screen 1.3 Results. A simple result entry could look like this:

    The Language Result details for the Student Enrolment are show below. Note the Type of result is specified with the eBECAS Date (of result entry published) English level, Teacher, effort and attendance percentage for that result is manually entered. The result groups are displayed with the entered result codes for the date tested.

    We also provide the facilty to specify Language Result types. This allows different result custom field combinations to be stored for different result types.

    Example Language result types may be Entrance, EAP, General English and results associated with tests such as IELTS or TOEFL.

    Language custom fields are named simple text fields. Some of the example named custom fields I can specify are below. Notice that if you do not specify the result type then all result types include the custom results. If a result type is specified for a custom result, then only that result type has that field displayed for entry. Only a IELTS result type will display and provide for the entry of the IELTS custom result.

    Selecting the Result type as IELTS, displays the un-selected result type custom fields and the IELTS field. If all result codes have defined result types, then only those custom fields selected for the result type will be shown.

    Academic Results

    Academic Results are subject / module based, and stored for each Student Enrolment.

    In setup, usually each Academic course (VET and Foundation), has the subject / modules listed that need to be completed successfully for the course to be completed. When a student enrols in a course (offer is accepted), then the subjects listed as belonging to that course are automatically listed for the Student Enrolment as waiting to be studied. Subjects / Modules can be added and removed to tailor the subjects the student needs / wants to study and add electives.

    It is also important to understand that the subjects/modules Results and Classes are different. The results are what the student obtained as a result in siting for an exam or test, and the class is details of when, where and who is teaching and where the subject is taught.

    Both Student Enrolment Results and Classes are listed in the Enrolment Details screen - Tabs - Results and Classes. After creating the Student Enrolment the Results for each subject are listed as Not Studied and the Classes are listed as Un-allocated. To assign classes please see here

    Entering an individual student result

    Usually results are entered by Class see here . Although you can manually enter a result for a subject. Highlight the subject / module and select from the left menu Result - Modify

    You can select the Grade from the drop down list (Grades would have been previously entered in eBECAS - Utilities - Setup Configuration - Academic - Result Codes.) Grades can be C - Competent or NC - not Competent, NYC not yet complete, or mre traditional grades such as HD - High Distinction, D - Distinction, C - Credit, P - Pass etc. The Mark field is an integer field so you can enter a number that can be read as a percentage.

    The Start and Finish dates are usually enetred automatically when the Class is allocated, and indicates the period the module is studied within the period of the course. Entering a mark or the start and end dates and attendance is not compulsory. Attendance is automatically calulated for the subject. Absence can be marked by subject.

    The Status must be updated. The Status options are: Not Studied, Class Assigned, Commenced, Completed, Withdrawn and Recognised prior Learning. The status of Not Studied is used to find and allocated students who are waiting to study subjects / modules.
