Background
In eBECAS version 9 we provide the facilty to categorize and store documents with Students, Agents and Accommodation Providers.
Setup
eBECAS stores documents on an ftp server. eBECAS encodes the files so that the name and reference is in eBECAS for retrieval from the ftp server.
The ftp server can be located on a LAN server or internet server.
Please go to eBECAS - Main - Utilities - Setup Configuration - Setup - Document Store.
Please enter: Host name, User name, Password, Store base directory (please no spaces)
All documents can be categorized, with separate categores definable for student, agent and homestay
Storing Documents
Student details Students details have a tab option to display Student Documents.
Press New and select open once you have selected the document you want to load into the document repository and file with the student.
You can update the document name, select a category and enter a description.
The documents are then displayed by document name, description, category and who and when the document was loaded.
Retrieving Documents
Opening the Stdeunt Document tab, please select under the Documents option, the download option. Highlight the document you want to retrieve and then press the download button.
You will see the download progress bar, and be given the open to open the file.
The same options are available to store, categorize and retrieve documents not only for stduents but also for agents, and homestay providers.
