The purpose of this documentation is to provide assistance in the use of eBECAS version 10 for College Classing.
Index
eBECAS provides the facility to allocate students to a classes for any time of day, specifying the teacher or teachers and the room
To get this to work the key is in the setup:
1. The difference between a "Course" and a "Product type Course".
Products relate to prices. Courses relate to what is studied. This means that you can specify many different Course products with different fee charges, that all study the same course subjects and units.
You may have Course products for particular markets and periods of time, that study the same subjects / units / modules. A local course product may be a different price for a student studying the same course from a student coming through an agent from overseas.
This means that you do not need to duplicate the same cousrses, just enter different Products course costs, that all study the same course.
Courses with what units / subjects / modules are study are entered here - eBECAS - Setup tab, Course Search.
Course details:
The Units (Modules / Subjects) that are studied for the course are specified by pressing the Units shortcut.
Products of type Course with the price options, and what course is studied are specified here - eBECAS - Setup tab, Pricing - Products
Product details:
Note that the Course that is studied MUST be specified.
2. All Courses (eBECAS - Main - Setup - Courses - Search), MUST have units defined.
For Language Class this generally reflect the sessions (Core / Afternoon elective).
For Academic courses, the units are the subjects or modules the course comprises.
3. All Products of type Course MUST have specified what course is being delivered for that product.
To see classes specified in the system please go to eBECAS - Classing tab - Classes shortcut
By default, the filter options for current date is displayed. Other filter options are available including starting, finishing and all. You can also filetr the classes by type Language or Academic, and group or filter by campus.

The students assigned to the class schedule can be seen by pressing the Students option.
Results, attendance and Unallocated students unallocated to classes and waiting to study units/modules can be displayed.
Pressing the absence button while highliting the class, displays the class list and period. You can select the absent button beside the student, which will automatically fill the time period. You can overwrite the time to record the actual time absent.
The absence entered is recorded for the student, and automatically calculates both current (elapsed since start) and overall attendance for the Language course enrolment, and for the Subject for the Academic course enrolments.
Results can be entered for students Language course and Academic subject by Class.
You can define for Language Courses result types and grades and results for Academic subject/modules.
