Comparision of eBECAS version 9 and version 10

     

    What type of Colleges is verson 9 and 10 designed for?

    Both versions are designed for Language, VET, University and Foundation (Academic) programs.

     

    Academic College

      What we mean when we use the term Academic College relates to the method of study. Academic Colleges by our definition are module or subject based. Subjects are studied for a period of weeks or a semester and are tested and graded. Examples of Academic Colleges are VET, Secondary, Foundation and University College Programs.

      Each subject / module can comprise multiple classes, lectures, and tutorials. Classes can be scheduled to be repeated for a period of time, for example lecture Monday 10-11am and Wednesday 2-3pm, with Tutorial on Thursday 2-5pm. Any combination is possible. A grade result is stored for the subject / module.

     

    Language College

      What we mean when we use the term Language College relates to the method of study. Language Colleges by our definition usually teach continuously for the period of the enrolment, and are not subject based. Students can attend multiple classes and progress through classes and levels depending on their progress. Multiple Results and grades are stored for the course, not the class.

     

    eBECAS version 9

     

    eBECAS is generally hosted at your College on a Server but can be hosted by us on our servers and accessed via the internet. Version 9 is really designed to be used on a LAN, and is a client / server application.

    eBECAS version 9 hosted at your College is very fast (especially reporting) because it connects from your workstation to the server on a LAN. Alternatively Colleges can use eBECAS from remote locations via Microsoft Terminal Services / Remote Connection or Citrix.

     

    Can eBECAS version 9 directly send emails and SMS?

    eBECAS version 9 can send individual emails. Emails can be addressed automatically to student and or agents. You can also tailor your templates using Microsfot Word, generate pdf documents and within eBECAS version 9. eBECAS version 9 has a sms in-built facility that is being beta tested.

     

    Does eBECAS version 9 include a document repository?

    Yes eBECAS version 9 does store sent and received emails and attached douments and can store documents / scanned files associated with a students / agents / service providers, so is available on-line.

     

    Does eBECAS version 9 include a Student web portal?

    Yes, eBECAS version 9 has the option for students to view classes and timetables, academic results, fees and attendance from the Student web portal option.

     

    Does eBECAS version 9 support multi-company and multi-locations?

    eBECAS version 9 is specifically designed for multi-campus and multi company financials. Many Colleges are using a centralised Marketing and Admissions team. Colleges can have common Agents and obtain performance and Financials for the group and by College campus. Users can be defined to have access to all students or only view their particular campus students. Class rolls and class allocation can be made by campus location.

     

    eBECAS version 9 Financials

    eBECAS version 9 has an integrated and in-built financials. Invoices are raised after an offer is accepted. Course costs are separated into Tuition and Agent fees, and invoices and letter of offer can be printed Gross for Students and Nett for Agents.

    Payments, credits and debits are entered into eBECAS version 9 for student accounts. Reports list revenue, and transactions grouped by student, agent, country, faculty (grouping of courses), location and company.

    eBECAS version 9 provides for extensive marketing analysis. Student activity can also be listed by enrolment, course weeks, revenue for period, invoiced value by starters, current, finishers and bookings in period by course, country, agents and marketing (sales) staff.

     

    eBECAS version 9 Classing and Timetabling

    eBECAS version 9 separates the classing for Language classes and Academic Classes.

    Language Classes are assigned by sessions. Typically a Language College runs classes for 4 sessions. The sessions may be called AM, PM, Options, Private or other names that relate to the time of day or grouping of classes for a course. For example, an AM session may run every day from 9am to 12 noon, the PM Session may run from 1pm to 2pm, the Options session from 2pm to 4pm and the Private session is designed for odd class times outside the core sessions.

    Each course has defined the sessions the classes are run. A General English full-time course may have students attend AM, PM and Option sessions. Classes are run during a session. A student is assigned to a class depending on the student's overall English level. For example a student is assigned to an intermediate class "INT-1A" which is run during the AM session, the class "INT-1B" is run during the the PM session for intermediate students and may or may not include the same students from the morning class, and may or may not be run by the same teacher, and may or may not be in the same room. Attendance / absence can be entered by class.

    Academic Classes are assigned by module. Results and attendance integrate with classes. Absence can be entered by class, and results (VET competencies, Foundation grades) can be entered by class.

    Rolls integrate with classes and timetables, and can be printed as a pre-formatted report or designed in Ms Word and single or bulk printed by College defined Microsoft Word template.

     

    eBECAS version 10

     

    eBECAS version 10 is hosted on the Internet in the "Cloud"

    eBECAS version 10 connects from your PC to the database via an internet connection. eBECAS version 10 is a rich Microsoft Windows application, that directly connects to the database service via a highly secure ssl internet connection from your computer, without using a browser.

     

    Can eBECAS version 10 directly send emails and SMS?

    Yes you can send emails from within eBECAS version 10. Additionally, all documents sent and received are automatically associated with the student / agent and service provider. eBECAS version 10 can also use a College general inquiry email address, where enquiries are entered into eBECAS version 10 directly for staff to reply. There is no SMS support as yet.

     

    Does eBECAS version 10 include a document repository?

    Yes eBECAS version 10 stores all sent and received pdf's and scanned documents associated with a student / agent / service provider within the database, so is available from all locations via the internet.

     

    Does eBECAS version 10 include a Student web portal and student iphone / andriod app?

    Yes, we provide the option for students attending a College running eBECAS to view classes and timetables, academic results, fees and attendance in an optional Student web portal. We also have an iphone, ipad and android application for stduents to view their timetables and contact details.

     

    eBECAS version 10 Financials

    We are in the process of releasing integrated in-built finiancials in eBECAS version 10. eBECAS version 10 can already integrate with Quickbooks, and exchanges information to display account details in eBECAS version 10 and enter student, agent and provider Account Receivables and Account Payables.

    Offers are entered into eBECAS, and when an offer is accepted, the invoice and invoice details raised can be sent to the accounting package. We also load account balances from Quickbooks into eBECAS version 10.

     

    Does eBECAS version 10 support multi-company and multi-locations?

    Yes by product and course, and integrates with separate company / location products and account codes in your accounting package.

     

    eBECAS version 10 Classing and Timetabling

    eBECAS version 10 provides classing for Language classes and Academic Classes.

    eBECAS version 10 supports multiple days and times for classes, with visual display of Class conflicts and allocation by Teacher, Room and time.
